How to Create an Invoice

An invoice is a simple document that tells a client exactly what they owe, why they owe it, and how to pay. Done well, it gets you paid faster and looks professional. 1. What every invoice must include

Every professional invoice contains the same core fields. Missing any of them is a common reason invoices get paid late:

  • The word "Invoice" and a unique invoice number (e.g. INV-2026-001).
  • Your business name, address, email, and — if applicable — tax/VAT ID.
  • Your client's name and billing address.
  • Invoice date and due date (Net 7, Net 14 or Net 30 are typical).
  • A line-by-line breakdown: description, quantity, unit price, line total.
  • Subtotal, tax, discounts, and the final amount due.
  • Accepted payment methods (bank transfer, card, PayPal, Stripe, etc.).
  • Optional but recommended: notes, thank-you message, late-fee policy.

2. How to calculate totals and taxes

Compute a line total as quantity × unit price. Add every line total to get the subtotal. Apply discounts (typically a percentage of the subtotal) before tax. Then apply your local sales tax or VAT to the discounted subtotal to get the final amount due.

  • Send within 24 hours of finishing the work — memory is your ally.
  • Attach a PDF (never editable Word) so totals cannot be altered.

  • Include a one-line thank-you and the total inside the email body.
  • Send a polite reminder 3 days before the due date, and again if overdue.

  • No invoice number — makes tracking and follow-ups painful.
  • Missing due date — clients default to whenever they feel like paying.
  • Vague descriptions ("Consulting") — be specific: "Landing page redesign, 12 hours".
  • No payment instructions — always list at least one clear method.
